If you’re a senior photographer, you know that busy season is no joke. Between back-to-back sessions, constant editing, emails piling up, and trying to keep up with client communication, it’s easy to feel like you’re treading water. I’ve been there! But I’ve also learned that this season doesn’t have to feel chaotic. With the right systems and mindset, you can stay sane and continue to deliver an incredible experience for every client who walks in front of your camera.

1️⃣ Streamline Your Workflow

Let’s be honest: Time is everything during busy season. I personally live by Trello for project management and Dubsado for client relationship management (CRM). These two tools help me keep every shoot, gallery, email, and to-do list right where it needs to be. My workflows and canned emails are pre-loaded, so I’m not reinventing the wheel with each new client.

Pro Tip: Batch your tasks and set boundaries around your work hours. Your energy is one of your greatest assets, protect it!

2️⃣ Overcommunicate (Yes, Really)

I know it might sound like overkill, but hear me out. Clear and consistent communication with clients can save you during busy season. Setting clear expectations º like when they’ll receive their gallery or how long their ordering session will take – keeps everyone on the same page and helps cut down on those “just checking in” messages. Even a simple progress update can go a long way in building trust and keeping your inbox manageable.

3️⃣ Outsource What You Can

As a busy business owner and a mom, I’ve learned to let go of the idea that I have to do everything myself. Whether it’s outsourcing editing, having help around the house, or bringing on an assistant during peak season – releasing tasks that don’t need my personal attention gives me more time to connect with clients and be present with my family.

Your time and energy are valuable, so protect them by asking for help when you need it.

4️⃣ Prioritize Self-Care

This one is non-negotiable. My favorite way to recharge? Hitting the gym. It’s my daily reset and helps me focus, especially on the busiest days. For you, it might be a walk outside, a quiet morning coffee, or even just a midday break from screens. Whatever it is, make it a part of your routine. You can’t pour from an empty cup, and your clients need the best version of you.

5️⃣ Celebrate Your Wins

Busy season doesn’t mean we shouldn’t pause to appreciate the wins – big and small. Whether it’s a glowing review, an amazing gallery delivery, or just surviving a hectic week, take a moment to celebrate. For me? A massage is always my go-to treat after a week well done!
